Hummingbird Communications announces powerful records management solution
DOCS RM becomes industry's first fully integrated document management and records management solution to gain both DoD and NARA certification
TORONTO, Sept. 21 /CNW/ - Hummingbird Communications (NASDAQ: HUMC, TSE: HUM) today announced DOCS RM, the industry's first fully integrated single vendor document management and records management solution to gain co-certification with both the U.S. Department of Defense (DoD DISA 5015.2) and the U.S. National Archives and Records Agency (NARA). DOCS RM, a more advanced version of a product purchased from the Australian-based company Educom, is based on PC DOCS/Fulcrum's world-renowned document management products.
``We are very excited to launch the industry's first DoD-certified Web-based records and document management product,' said Martha Turner, vice president, Federal Business Unit. ``With a successful 5,000-user install base already in place, DOCS RM more than meets the needs of the government as well as colleges, universities, hospitals, law firms, insurance agencies, and financial institutions that demand all transactions be recorded and immediately accessible.'
Bill Manago, product manager for DOCS RM, was instrumental in ensuring DOCS RM and CyberDOCS RM met the extensive policy, procedure, regulatory, and technology requirements involved in gaining DoD and NARA certifications. Manago, who was previously employed with the Joint Interoperability Test Command (JITC), the testing agency of the Defense Information System Agency (DISA), co-authored the DoD DISA 5015.2 standard, established the certification test lab, wrote the certification test procedures, and conducted the certification tests.
``Hummingbird takes a leading role in the document management industry by integrating electronic document management and full-scale records management into a single product. Though other DM vendors have been making acquisitions to compete in the records management market, DOCS RM is an existing product that is already tightly integrated with PC DOCS/Fulcrum's DM product suite. Traditionally, records management has required that the majority of the registration, classification, storage and tracking of information be controlled by a records management department, but DOCS RM de-centralizes routine records management tasks. This allows records managers to take a more strategic role in determining records management policies, while delegating routine activities to business units and individual users. DOCS RM is also the first records management solution with seamless Microsoft Outlook and Lotus Notes e-mail integration, so users are automatically alerted when an e-mail message has already been saved as a record.
Key features of DOCS RM include a `roll-over' feature that creates monthly, quarterly, semi-annual and annual periodic files, then automatically closes these files upon completion. DOCS RM also provides users with the ability to create an ISO 2788-compliant thesaurus where a controlled set of terms are used to index and retrieve all documents, reducing the amount of time it takes to find the correct file for the document. In addition, DOCS RM enables sophisticated and flexible security mechanisms to provide better control over sensitive files. For example, users can be permitted to search and retrieve information from particular files, but be restricted from adding documents to those same files.
``Doculabs has benchmarked DOCS RM and we were very impressed by both its current functionality and Hummingbird's future plans for the product,' said Richard Medina, senior analyst, Doculabs. ``This has been a very successful records management product in Australia. The prospect of integrating this solution with Hummingbird's Enterprise Information Portal strategy gives the company a considerable advantage over its competitors.'
