Discuss on thread ONLY if you have a STRONG preference. ITEM 3) Agenda/Events? a) Probably hospitality suite open Friday Eve. Sat/Sun/(Mon)morning Sat/(Sun) evening, depends on cost. Fri evening and Sat morning are mandatory. Is cost is an issue for keeping it open Sun morning/evening? b) Main event Saturday afternoon, cash bar, sit down dinner,band, 'events'. Please PM me with ideas or if you will help coordinate something. c) Entertainment? Will you join a group going to a floor show? d) Spousal units? RIG PARTY PLANNING: Greetings everyone! Are we ready to have fun, or what? A number of details need to get worked out to get the ball rolling. Because of the complexity, a number of assumptions have been made along the way, but for the most part, will try to have general vote on all key issues. ITEM 1) Date? - Obviously the most important, as with 26 interested parties, it will be darn near impossible to get a 'perfect' date, but we are going to try! Will start with the suggested dates, and vote. If this doesn't work well, we'll try another approach. For now, let's choose between choices a) and b), below, ok? a) Memorial day weekend? Fri=May25 Monday=May28 +++ Three day weekend. One more day. Markets closed Monday! More time and easier for those with day jobs. --- We would have to get started NOW, in order to insure hotel space, etc.etc.. because it is a high volume weekend. Money/commitments must be made NOW. Space will be tighter on the airlines and in the hotel. A bit higher prices perhaps because of the high volume weekend. b) Fri=May 18 Sunday=May 20 +++ Perhaps a bit less complicated due to not being a high volume weekend. Perhaps a bit more wiggle room on prices. --- One less day THIS NEEDS TO BE DETERMINED SOON! ITEM 2) Hotel? With 26 people, we want to keep this simple. My wife suggested that she get quotes from three hotels, and bring it to a vote, like we did with Las Vegas vs. Cancun. On the 'swank' meter, she will look at three hotels in the 6 to 9 (on a 1 out of 10) range. If anyone has a STRONG preference, PM me. Then, we can get pricing, which I will present to the thread for a vote. ITEM 3) Agenda/Events? For a core framework, here are my ideas: a) Probably the bulk of people will be arriving Friday afternoon/evening. Therefore, we rent a 'hospitality suite' where people can meet that evening, maybe with a wine/cheese tray. Depending on cost, we keep this open throughout the weekend or at key times (Saturday/Sunday morning) so there is a 'gathering place' for people to meet. b) We have the 'main' event Saturday afternoon...cash bar cocktail hour...catered dinner..(hell maybe a 'speaker' or two) then music, and whatever 'events' the creative minds here can dream up. c) Other events, contests? a '21' tournament has been suggested...perhaps a 'pin the tail on the slider contest'...Please make your suggestions, and please be willing to volunteer to help make your idea happen. My wife refuses to arrange for strippers or hookers to jump out of cakes...so I guess we will have to hire our own... d) Entertainment? My wife suggested perhaps we could get a group discount on buying tickets to a floor show? Any interest here? e) Spousal units? Will you be bringing spouse/date/family? Should any accomodations be made for them? ITEM 4) Hotel arrangements? When the hotel is agreed to and a group discount negotiated, my wife will set you up for whatever dates you want. She will try to get us all on the same floor, but she said no hotel will guarantee that. ITEM 5) Flight arrangements? Because everyone is originating from different locations, no charter rates can be worked out. My wife is an experienced travel agent and will gladly help you get the best deal she can. If you prefer to work with a local agent, there is no reason not to, but she wouldn't mind your business, of course! ITEM 6) $$$? Ultimately, there will be several components here: a)Your flight/hotel component will depend on how many nights you stay, whether you share a room with a friend/spouse etc. b) There will be a per person cost for the dinner/party. I think it would be easiest to keep it a cash bar at the party. c) There will be a 'general fund' of miscellaneous expenses for the hospitality suite, etc. that we will split up between the number of people going. Since we will have a variety of income groups/net worths from average joes to high rollers, we need to have a general concensus on the 'swank' level here. If you have any concerns about this, please PM me with your ohmygawdpleasekeepitunder$200 or ohCmonLetsHireTheRollingStones kind of thoughts. ITEM 7) Communication? I will not PM 26 people for everything! Group discussions will be posted to the thread. Please PM me with your email addresses for handling of the more mundane one on one details. That's it for now.
