Investment Services Provider Deploys Captaris RightFax, Alchemy and Workflow to Enable Global Operations

BELLEVUE, Wash., Feb. 21 /PRNewswire-FirstCall/ -- Captaris, Inc. (Nasdaq: CAPA - News), a leading provider of software products that automate document-centric processes, announced today that Prime Fund Solutions, a division of Fortis with head offices in Belgium and the Netherlands, is using the Captaris suite of products to change the way they are managing paper. The organization delivers and manages documents across its global locations with Captaris RightFax and Captaris Alchemy and drives business tasks with Captaris Workflow. As a result, Prime Fund Solutions can work more efficiently as one global department even though it has offices physically spread all over the world across different time zones.

"We are a global business because our customers are global," said Kees Tiebout, Global IT manager with Prime Fund Solutions (PFS). "Technologies like RightFax, Alchemy and Workflow are required to achieve our goal of 24-hour global operations."

With RightFax, employees receive and send documents at their computers. Rather than dealing with stacks of paper and risking document loss, employees view faxed documents as PDF files that are easy to store or forward. "With signatures, faxes tend to hold more legal value than email," Tiebout said. "Still some clients prefer email and RightFax handles both modes of delivery. By integrating RightFax with our ERP application, employees deliver forms directly from the application."

Alchemy processes and archives thousands of files every week and the department relies on it to provide immediate document access to all locations. Using Alchemy, PFS is able to comply with industry requirements for document retention without the need for paper storage. RightFax transmissions along with hard copies are scanned, time-stamped, and archived into the Alchemy database using Alchemy Scan.

Captaris Workflow automates the procedure to add new investors to funds. Employees use a web-based workflow screen that automatically assigns tasks determined by process guidelines. Employees even use Captaris Workflow as an entry screen for creating messages to clients. The solution routes the message through required approvals before delivering them to clients using database details regarding address and message preference.

Having access to a suite of solutions from one vendor is an added benefit. Tiebout concluded, "90 percent of problems usually come from a lack of integration between products, or vendor A pointing to vendor B when there are issues. The strategic move by Captaris to combine RightFax, Alchemy and Workflow is a perfect fit with our global business process."
