The Westin is attached to the Santa Clara convention center. The Grand Ballroom at the convention center could swallow 300 people up and still look empty. Since the two buildings are attached, it's possible that your source was confused about which ballroom actually has the meeting.

I also suspect that employees are getting briefed separately from the stockholder's meeting, and therefore won't necessarily be attending in force. If I were Morgan, I wouldn't necessarily want my largest shareholders mingling with possibly disgruntled employees. He can't keep them out, if they're shareholders, but he can provide disincentives (like requiring them to use vacation time), and remove the reason to attend (by providing a separate briefing, possibly concurrent, on company time).

Tony, no experience with the Westin, but I plan to attend.
Went to a meeting a couple of years ago, held at an AMAT
facility in Santa Clara. There were considerably fewer than 300 attendees.
