Web Applications Get Workflow Injection (04/26/99, 11:25 a.m. ET)

Some users are finding an essential puzzle piece gets left out when business applications get Webified: workflow.

At the University of Illinois at Urbana Champaign, the birthplace of the Web browser, IT staffers deem the Web an efficient way to publish and distribute procurement information. "We used to print new procurements in a special state newspaper, but the legislature wanted a broader, easier way to access this information," said Gloria Keeley, director of systems and staff development.

But plain HTML cannot handle approvals and create the audit trail that has always been essential to the purchasing operation. The university's solution was Keyfile's Keyflow, a workflow software system that rides atop Microsoft's Exchange Server. Keyflow is being used today by 120 university buyers across 13 locations. Using a browser form, these employees create procurement documents, which are automatically routed for approval. At the end of this internal process, they are posted to the Web as HTML documents.

The need for process automation in Web applications is pervasive, said Gary Ambrosino, Keyfile's vice president of marketing. "Only 40 percent of businesses are using anything more than e-mail to handle the transactional flow from their websites," he said. To that end, Keyfile next week will introduce Keyfile Commerce, which integrates the developer's existing document-management and workflow servers into a single bundle. Keyfile also will release an XML-based forms server later this year.

Forrester Research analyst Eric Brown said large organizations are finding each new application must be integrated with about 18 existing ones. That is why vendors such as Keyfile are treating document management with an integrated approach rather than as a stand-alone application, he said. Keyfile Commerce, for example, captures "order entry, customer service, logistics -- three parts of one business process," Brown said. Keyfile's three-server cluster for document management, workflow, and forms will sell for about $50,000, plus per-seat licenses of $100 each for companies using the system on an intranet with an Exchange or Outlook client. Keyfile will also offer concurrent Internet pricing for public Web access.
